By combining expert UX audit methods with live user testing, we identified barriers to adoption, captured how the tools performed in real-world contexts, and provided a clear roadmap of prioritised recommendations. The project gave the client actionable insights to help future planning and decision-making.

Our client, a national agricultural organisation, depends on timely and accurate data submissions from members to support key decision-making and programme delivery. While multiple tools were available (digital platforms and paper forms), adoption of digital methods was inconsistent, and the user experience varied widely across channels.

Objectives

The organisation wanted to understand:

  • How well their current submission tools were supporting members in real-world contexts
  • Barriers to digital adoption
  • Opportunities to streamline and simplify the process
  • Where improvements would have the most impact for both users and the organisation

Approach

We combined professional UX audit methods with live user testing:

  • Expert Review: A systematic audit of all submission methods to identify usability, accessibility, and consistency issues.
  • User Testing: Live sessions with representative members to capture how the tools performed in real-world conditions.
  • Stakeholder Discovery: Internal workshops to align the research with business goals, operational constraints, and organisational expectations.

Findings and Insights

Through this process, we identified:

  • Areas where digital tools were creating unnecessary friction or slowing down tasks
  • Features that were valued but under-used because they weren’t easy to discover
  • Differences in how users approached the tools depending on their working context (e.g. in the field vs. at a desk)
  • Organisational challenges such as fragmentation across platforms that risked lowering adoption

Recommendations

We delivered a clear set of prioritised, actionable recommendations that:

  • Simplify and streamline the interface to make key tasks faster and more intuitive
  • Reduce barriers to entry for digital adoption
  • Improve discoverability of important features
  • Provide a framework for measuring the impact of changes over time

Impact

The audit and user research provided the client with:

  • A clear picture of how their tools were experienced in real-world use
  • Evidence-based insights into where to invest in improvements
  • A roadmap for increasing adoption of digital tools and reducing reliance on paper methods
  • Stronger alignment between user needs and organisational goals

By focusing on usability, accessibility, and discoverability, the organisation can make data submission easier and more reliable, improving both the member experience and the quality of data for decision-making.
